Why Small Businesses Should Switch from Spreadsheets to Monday CRM

Monday CRM logo

In today's fast-paced business environment, small businesses need efficient tools to manage customer relationships and streamline operations. While spreadsheets are a convenient option initially, they can quickly become cumbersome and limiting as your business grows.

Monday CRM offers a powerful, user-friendly alternative that can transform how small businesses manage their customer data and sales processes.

The Limitations of Spreadsheets

Spreadsheets have several drawbacks when used for customer relationship management:

  • Difficult to share and collaborate on data (how many versions of that sales pipeline spreadsheet are there?)

  • Challenging for multiple users to access and update simultaneously (although Google sheets has improved this significantly)

  • Limited reporting and analytical capabilities (how many of your team could build you a Power BI Dashboard?)

  • Time-consuming to input, review, and analyse data

  • Lack of automation for repetitive tasks (although Zapier can help with some smaller things)

  • Risk of data loss or inconsistency

Advantages of Monday CRM for Small Businesses

Monday CRM provides numerous benefits that address these limitations and offer additional value:

1. Centralized Customer Data

Monday CRM allows you to store all customer information in one place, providing a comprehensive view of each client's history, interactions, and preferences. Having a single source of truth for data is one of the main issues I come across when working with small businesses to optimise their sales processes.

2. Enhanced Collaboration

With cloud-based access, team members can view and update customer records in real-time, ensuring everyone has the latest information. They also have an app for super quick updates whilst you're on the go.

3. Customizable Dashboards

Create visual representations of your sales pipeline, team performance, and other key metrics using 25+ customizable widgets. These can be built to align directly with your KPIs so your performance against targets is at your fingertips.

4. Automation Capabilities

Set up no-code automations to streamline repetitive tasks, such as follow-up reminders or moving deals through the pipeline. Monday CRM does this really well (and simply!) so that you don't have to manually notify people when deals change, or set reminders to follow up with your customers. It can all be done automatically.

5. Improved Data Security

Centralise your data with proper access controls, reducing the risk of sensitive information being lost or compromised. You can even give access to certain areas to people external to your organisation. Boards can be made private where necessary, and you can see who has been working on items.

6. Integration with Other Tools

Monday CRM integrates with 72+ external tools, including communication platforms, marketing tools, and file-sharing services. Everything from Outlook and Gmail to DocuSign, Slack and Calendly. Pretty much whatever you are already using can be integrated with Monday CRM - either natively or with a custom API.

Latest Features of Monday CRM

Monday.com consistently updates its CRM platform with new features to enhance user experience and functionality. Here are some of the latest additions:

1. AI-Powered Email Composer

The new AI composer helps you craft personalized emails quickly and efficiently, saving time on customer communications. This is a real challenger to MailChimp, so you might be able to cut down on your subscription fees with this one. They have beefed up their email tracking analytics too, so you can measure the effectiveness of your communications.

.

2. Native Calling Integration

Make calls directly from the CRM using the Twilio integration, streamlining your communication process. Being able to update customer or deal records directly from the call will save time if you are doing a lot of outreach on the phone.

3. Speed

Monday are working on increasing the speed of page loads so that you can be even more efficient and get things done a lot quicker. Personally, this is the one I'm interested the most and I'm really excited to see this when it's rolled out.

.

4. Account Enrichment

Automatically populate customer data from external sources, saving time on manual data entry and ensuring up-to-date information. You can integrate with things like CrunchBase to pull in all kinds of data on your customers - saving you loads of time in researching, and then continuously updating.

Making the Switch to Monday CRM

Transitioning from spreadsheets to Monday CRM is a straightforward process:

  1. Set up a meeting with Yvette: I am a 2x certified Monday Consultant, and implementing CRMs is what I love to do. I'm not tied into any specific CRM, so if Monday isn't for you, we can look at something else!

If you want to give it a go yourself, you can of course go it alone. Monday's interface is really intuitive to use, and you can customise it how you like. They have an import function so if you have loads of data on a spreadsheet already, with a bit of field mapping, you can transfer it all across really easily.

If you have any tools that you already use internally, check that they can be integrated, and what that integration looks like.

Of course, assuming your processes were mapped out beforehand, you'll be able to have a go at automating some of your repetitive tasks and saving yourself a load of time.

By making the switch to Monday CRM, small businesses can significantly improve their customer relationship management, boost productivity, and gain valuable insights to drive growth. With its user-friendly interface, customizable features, and continuous updates, Monday CRM provides a scalable solution that can adapt to your business needs as you grow.

Reach out today and find out how I can help you make the switch.
